Four- to six-months student exchange program - Grants

GET FUNDING FOR RECIPROCAL EXCHANGES BETWEEN STUDENTS OUTSIDE OF QUEBEC!

Through this four- to six-month student exchange program outside of Quebec, Éducation internationale and the Ministry of Education of Quebec aim to develop the linguistic skills of Quebec students and enhance the international activities of educational organizations in Quebec.

Eligibility criteria

You must ensure the eligibility of your project before submitting a grant application under this program. To be eligible, Quebec students* must:

  • Be in Secondary III, IV or V;
  • Have completed a minimum of 60 hours of practice in the target language before participating in the exchange;
  • Have an above-average academic record;
  • Demonstrate a clear interest in achieving the program’s objectives;
  • Be willing to learn the language spoken in the host country;
  • Show openness towards others and their culture;
  • Possess a high level of adaptability and integration skills;
  • Demonstrate maturity and a sense of responsibility;
  • Display a careful use of the languages used;
  • Exhibit exemplary behavior;
  • The parents or legal guardian of the student wishing to participate in the exchange program must consent to their participation;
  • All adults living under the same roof as the participating student must have no criminal record;
  • The exchange must be a minimum of 2 months and a maximum of 3 months for each part of the exchange, totaling a 4 to 6-month exchange;
  • The exchange must be evaluated as safe.
  • Applications can be submitted from April 1st of the current year, and funding can be granted for projects ending before July 31st of the following year.
  • The application must be complete and signed, including annexes, as well as a duly filled application form.

*Under this program, the definition of a Quebec student is the same as that used in the Regulation respecting the definition of a resident of Quebec (RLRQ, c. E-9-1, r 2).

Amount of the grant

The maximum amount that can be granted corresponds to the cost of the transportation fare up to a maximum of $2,000 per person.

One accompanying person per submitted project can also receive equivalent funding.

The total annual amount that can be awarded in grants is $287,415 for all submitted projects (within this allocation, an amount of $175,415 must be allocated to projects carried out in Canada).

Deadline to submit your project

The Program will be implemented through two types of calls for proposals: a continuous annual call and another with a fixed submission deadline. The details of these calls are specified below.

The continuous annual call will allow Éducation internationale to process applications from April 1 of the current year until February 15 of the following year, with February 15 being the fixed submission deadline for the current school year.

Part of the budget will be allocated within the continuous call, while another part will be reserved until February 15 to give projects that are not ready to be submitted before this date a chance to still receive funding.

This means that the funds available for the continuous call are limited, and it is possible that after a certain date, we will no longer be able to grant funding during the year if the demand is too high. If this is the case, all individuals whose applications were received after the funds for the continuous call have been exhausted will have to wait until after February 15 to receive a response to their funding request.

It is also possible to submit a grant application retroactively, that is, after the project has taken place, provided it is within the same financial year.

You will receive confirmation of the receipt and compliance of your application by email within the week following its submission.

For the continuous call, confirmation of acceptance or rejection of your application will be confirmed no later than 6 weeks after the submission date.

For the annual call, confirmation of acceptance or rejection of your application will be confirmed no later than 6 weeks after the submission deadline, which is February 15.

Grant use report

School management must complete the grant use report (in French only) and submit it to Éducation internationale at the latest 60 days after the completion of the project. Any unused sum will have to be reimbursed (e.g. student withdrawal).

The report must also include the following documents :

  • Appendix I: Detailed schedule of the project (as it unfolded).

  • Appendix II: Final budget outline.

  • Proof of purchase for eligible expenses for each participant

  • Any other relevant document (stories, photos, etc.)

Safety

As a security measure, no funding will be granted for projects that take place in a country that is the subject of a level 3 travel advisory issued by the Government of Canada (avoid all non-essential travel).

This program is funded by the ministère de l’Éducation du Québec. Éducation internationale and the Échanges azimut department has been mandated by the Ministry to administer this program.
